Privacy Policy

1Who we are

Taktume Anytime is an AI interview-coaching platform operated by Sentic Technologies Inc. ("Sentic," "we," "us"), a company based in Toronto, Ontario, Canada. Taktume Anytime lets you practice realistic, voice-first interviews and difficult conversations with an AI, get structured feedback, and track your improvement over time.

Practicing for a job change, a school interview, or a hard conversation is a sensitive activity. This policy explains what we collect, how we use it, who we share it with, and the controls you have. Sentic Technologies Inc. is the data controller for your personal information on Taktume Anytime.

2Information we collect

2.1 Account information

  • Registration data: email address, first and last name, password (stored only as a secure hash), preferred timezone, and email verification status.
  • Sign-in via third parties: if you use single sign-on, we receive your name and email from that provider.
  • Referral codes: if you sign up with one, we record which code was used.

2.2 Practice session content

  • Voice audio: your spoken responses during live practice sessions, which are transcribed to text in order to run the session and generate feedback.
  • Video (optional): if you enable video, we process it to provide body-language feedback such as posture, engagement, and eye contact. Video analysis is off unless you turn it on.
  • Transcripts and results: the conversation transcript, your scores, per-criterion feedback, evidence snippets from your own answers, and recommended drill plans.
  • Documents you upload: resumes, job descriptions, and presentation decks you choose to upload for guided or presentation practice.
  • Code submissions: code you write during coding-interview practice and its evaluation.

2.3 Progress, gamification, and profile data

  • Skill-dimension scores, session history, trends, and improvement recommendations.
  • XP, level, streaks, and achievements.
  • Your leaderboard participation choice (leaderboards are opt-in) and achievement showcase visibility setting.

2.4 Payment and technical data

  • Billing: subscription tier, purchase history, and credit balances. Card details are collected and processed by our payment processor (Stripe); we do not store full card numbers.
  • Technical data: device and browser information, IP address, log data, and session tokens needed to keep you signed in and the service secure.

3How we use information

  • To run your practice sessions: conduct the live AI conversation, transcribe your speech, generate the AI's voice, and adapt the session to what you say.
  • To give you feedback: score your sessions against role-specific rubrics, generate strengths and improvement notes, and build your drill plan.
  • To personalize practice: when you upload a resume or job description, the AI grounds its questions and evaluation in those documents.
  • To track your progress: build your skill profile, trends, streaks, XP, and achievements over time.
  • To manage your account and billing: authentication, email verification, subscription enforcement, and credit accounting.
  • To keep the service safe and improve it: abuse prevention, daily usage caps, debugging, and aggregate, de-identified analytics.
  • To communicate with you: service emails such as verification codes and account notices.

4AI, voice, and video processing

Taktume Anytime is built on AI, and your session content is processed by AI services to deliver the product:

  • Speech-to-text: your voice audio is transcribed in real time by third-party speech-recognition services.
  • Conversation and scoring: transcripts (and documents you upload) are processed by large language model providers to run the conversation and generate rubric-based evaluations. The AI's full scoring rationale is stored with your result so feedback remains auditable.
  • Text-to-speech: the AI's responses are voiced by third-party speech-synthesis services.
  • Body-language analysis (optional): video is analyzed only when you enable it for a session.

What the AI's scores are — and aren't: feedback on Taktume Anytime is practice coaching for you. Scores are not shared with employers or schools unless you choose to share them, and they are not used to make any decision about you beyond your own practice recommendations.

5Sharing and service providers

We do not sell your personal information, and we do not share your practice content with employers, schools, or advertisers. We share information only with:

  • Service providers who process data on our behalf to run the product: cloud hosting and storage, speech-to-text providers, large language model providers, text-to-speech providers, email delivery, and payment processing (Stripe). Each is bound by contractual confidentiality and data-protection obligations.
  • People you choose — see Section 6 on shared scorecards and leaderboards.
  • Legal and safety recipients — where required by law, legal process, or to protect the rights and safety of users and the platform.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy's protections.

6Leaderboards, achievements, and shared scorecards

  • Leaderboards are opt-in. Your XP and streaks appear on public leaderboards only if you enable leaderboard participation, and you can opt out at any time.
  • Achievement showcases appear on your profile only if you enable showcase visibility.
  • Shareable scorecards: you can generate a read-only public link for any session result to share with a mentor, coach, or hiring contact. Anyone with the link can view that scorecard. You control these links and can revoke or modify access at any time.

8International transfers

We are based in Canada and use service providers that may store or process data in Canada, the United States, and other countries. Where personal information is transferred internationally, we use appropriate safeguards such as contractual data-protection terms and, where required, standard contractual clauses.

9Data retention

  • Session transcripts, scores, and analytics are retained while your account is active so your progress history works — that history is a core feature of the product.
  • Raw voice audio is processed to produce transcripts and results; [retention window for raw audio to be finalized — recommend short-lived retention with deletion after transcription and quality checks].
  • Uploaded documents (resumes, job descriptions, decks) are retained so you can reuse them, and you can delete them from your account.
  • Account data is retained for the life of your account. When you delete your account, we delete or de-identify your personal information within a reasonable period, except where law requires longer retention (for example, billing records).

10Security

We protect your information with measures appropriate to its sensitivity, including encrypted transport, hashed passwords, token-based session authentication, masking of contact details before certain AI processing, access controls, and daily usage limits that deter abuse. No system is perfectly secure; if a breach affecting your personal information occurs, we will notify you and regulators as required by applicable law.

11Your privacy rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you and receive a copy;
  • Correct inaccurate information;
  • Delete your account and personal information;
  • Withdraw consent for optional processing (such as video analysis or leaderboards);
  • Object to or restrict certain processing;
  • Complain to a supervisory authority (in Canada, the Office of the Privacy Commissioner; in the EEA, your local data protection authority; in Quebec, the Commission d'accès à l'information).

To exercise a right, use your account settings where available or contact us using the details in Section 14. We will verify your identity and respond within the timeframe required by applicable law.

12Children

Taktume Anytime is not directed to children under 16, and you must be at least 16 to create an account. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it. [Counsel to confirm minimum age given the student audience — some pre-health applicants may be 17.]

13Changes to this policy

We may update this policy from time to time. We will post the updated version at this page with a revised effective date, and for material changes we will notify you by email or in-app notice.
